I’m SO excited to finally share the latest version of a project that has been years in the making and continues to grow right alongside our homeschool journey: the Homeschool Expenses Tracker 3.0! This tool has been a game-changer for our family, and my hope is that it can help bring that same organization and simplicity to yours too.  I personally use this to help me plan my homeschooling budgets through the UFA scholarship program and keep track of what’s been submitted for reimbursement

Sorry, I know it’s long, and I know I didn’t have makeup on or my hair done.  I’ve been sitting on this finished worksheet for MONTHS and it was just time to get it out there, so please pardon my appearance.


A Quick History

This spreadsheet started as a very simple tool for tracking My Tech High reimbursements for my own kids. But after sharing it with a few friends and seeing the response, I realized it was something a lot of families needed. Since then, it’s grown A LOT — first with changes to My Tech High’s programs, and then when we received UFA Scholarships this last year. With every update, I try to keep it aligned with the latest changes to scholarship programs and user requests.

In version 3.0, I’ve combined everything into one flexible tracker that should work for:

  • Utah Fits All (UFA) Scholarships
  • OpenEd – all states
  • Harmony 
  • Homeschool families in other states

What’s New in This Version?

Here’s a quick peek at the updates you’ll find:

  • Unified Tracker for all major funding sources (UFA, OpenEd, Harmony, etc.)
  • Flexible Budget Input – Preloaded with common scholarship amounts, or customize your own
  • Status Tracking for every expense (planned, purchased, submitted, approved, paid, rejected, etc.)
  • Family Expense Checkboxes so you can tag shared costs like internet or curriculum
  • Auto-Sorting Buttons that instantly organize by student or status (I’m genuinely giddy about these for myself)
  • Built-In Category Tracking – including support for the UFA 20% cap on PE and extra-curriculars
  • Customizable Reports Tab to generate filtered lists of expenses by student, status, or category

Why It’s in My Shop Now

This is still totally FREE, but I’ve added the tracker to my affiliate shop this time. Why?

  1. So I can notify you of updates. If a bug pops up or I release a new feature, you’ll actually hear about it.  This has been a major issue in the past as I have no way to send updates to people or push an update to all of the copied spreadsheets.  I want to make sure that you know if there’s a calculation that’s not right.  
  2. It helps me keep track of how many people are using it. Which honestly just makes me happy — it’s a labor of love, and it means a lot to know it’s making a difference.
  3. Optional donations. This resource is – and I intend for it to always be – completely free.  But, if you ever feel inclined to throw some pizza money my way so I can code instead of cook, I will always be grateful for your support 🍕

How to Get Started

  1. Go to the tracker page in my shop and “Add to Cart”
  2. Head to checkout (you can use dummy info except for your email unless you don’t want to get updates)
  3. Click “Download PDF” to access the link to make your own copy
  4. Fill in your students, budgets, and start entering expenses!

The spreadsheet includes basic instructions throughout, but the video walkthrough will show you everything step-by-step.


This project is one of those nerdy-little-labors-of-love that I keep coming back to because I really want it to be something that makes life easier for other homeschool parents. Whether you’re using UFA, OpenEd, or just trying to manage your homeschool budget better, I hope this helps you feel more confident and in control.
